Information We Collect
Customer Data
As customers, you provide data to us for processing as part of the usage of our Intelliswift applications.
Customer Data may be processed by us as a result of customer’s use of the services provided by us when our customers, or their end-users, input or upload information. For example, customers who use our Intelliswift application may upload Customer Data about themselves or their employees.
This data includes name, email address, phone number, landline number, job title for your employees. We collect billing details for invoice purposes.
Other Data
Customers provide data that is necessary to create user accounts.
For the creation of user accounts, you provide your name, email address, telephone number, and correspondence address. You also provide billing details for invoicing purposes.
We also collect data when you use our applications and websites
- Log Data - Our servers automatically collect information when you access or use our applications and services. This data is recorded in log files. Examples of such data include IP Address
- Mobile Application - When you download and use our services, we automatically collect information on the type of device you use, and the operating system version.
- Subscription Data – You provide personal data to us as part of signing up for our newsletter on our websites. We may also collect personal information from you when you use interactive features of the Websites, promotions, requesting customer support, or otherwise communicating with us.
- Contact Us Data – When you enquire about our products and services, we collect and store this data to communicate with you and respond to your inquiry.
- In addition to the information we collect from you, we also may collect information about you from third-party sources. These sources include:
- third party websites and services like job boards and professional network sites;
- background check providers;
- your references;
- business intelligence sources;
- Intelliswift affiliates, which are companies that own Intelliswift, that are owned by Intelliswift, or are under common ownership with Intelliswift.

How We Use Your Data
Lawful bases for processing
- We have lawful bases to process your personal data. We also use your consent as a basis for lawfully processing your personal data.

Presently, we use the Performance of Contract (i.e., to deliver the services to our customers) and consent as the lawful basis for processing. For certain processing, we may also use legitimate interests as provided under the relevant data protection laws.

How we use Customer data
We use your data to authenticate you and authorize access to our services
We only process Customer Data on behalf of our customers and in accordance with their instructions provided in the applicable services agreement with us. We use the data that we have about you to provide our services and provide support to you. In each case, Intelliswift collects such information only in so far as is necessary or appropriate to fulfil the purpose of the interaction with our services.
- To send emails and other communications. We may send you service, technical, and other administrative emails, messages, and other types of communications. We may also contact you to inform you about changes in our service offerings.
- Customer Support. If you send us a request (for example via a support email or via one of our feedback mechanisms), we respond to your request or help your issues.
- We use contact information and job application data to contact and evaluate candidates for job openings.
- We use the information we collect about your device and the information you give us to allow you to create an account on our sites and apps.
- We use the information you provide to us to administer the various services you opt in to, including emails and notifications about career opportunities and other developments.
We use all personal data we collect to develop new products, tools, and services including chatbots and other uses of artificial intelligence.
- We use contact information to make sales calls, and send out advertising materials to candidates, customers, and customer prospects. We will update you with improvements in our services, new features and from time to time also carry out direct marketing of our products and services. Direct marketing is carried out only if you consent to receive such communications from us.
- If you create an account on our site, we will send you emails with job content.
- We may use personal data to show you advertisements on our site.
- We use the personal data we collect on our site and apps to profile the interests of employers and job seekers, and understand their interests.
- We use information we collect about your device to generate statistics about how you use our site.
- For any other purpose as provided for in the Services Agreement between us and the customer, or as otherwise authorized by the customer;
- In accordance with or as may be required by law.
Data Retention Policy
We will retain your personal information for as long as is needed to fulfil the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements).
Customer Data - We retain your information for as long as you have an active services account with us. We may also retain your personal information for an extended period under applicable laws.
Intelliswift will retain Customer Data in accordance with a Customer’s instructions, including any applicable terms in the Customer Agreement and as required by applicable law. When you decide to close your account, we delete all personal information about you.
Other Data - We retain your information for as long as necessary for the purposes that we have described in this Privacy Policy
Intelliswift may retain other information pertaining to you for as long as necessary for the purposes described in this Privacy Policy.
Additionally, job applicants and individuals whose assignment has ended will be maintained in Intelliswift’s talent pool to be potentially contacted about other employment opportunities. Where applicable, Intelliswift will remove your information from the talent pool upon verified request.
Your Rights
You can request to access, update or correct your personal information. You also have the right to object to direct marketing.
You may have additional rights pursuant to your local law applicable to the processing.

Whenever you use our services, we aim to provide you easy means to access, modify, delete, object to or restrict the use of your personal information
We strive to give you ways to access, update/modify your data quickly or to delete it unless we have to keep that information for legal purposes. Some rights can be accessed from within the Intelliswift application. For visitors, these rights can be exercised by contacting us with your specific request.
- Change or Correct Data: You can edit some of your personal data through your account. You can also ask us to change, update or fix your data in certain cases, particularly if it’s inaccurate.
- Delete Data: You can ask us to erase or delete all or some of your personal data (e.g., if it is no longer necessary to provide services to you).
- Object to, or Limit or Restrict, Use of Data: You can ask us to stop using all or some of your personal data (e.g., if we have no legal right to keep using it) or to limit our use of it (e.g., if your personal data is inaccurate or unlawfully held).
- Right to Access and/or Take Your Data: You can ask us for a copy of your personal data and can ask for a copy of the personal data you provided in machine-readable form.
Account Closure
We keep some personal data even after account closure
Once you choose to close your account, we generally delete your personal information within 30 days of the closure of your account. Some information that is necessary for statutory obligations such as audit, records of payment processing, invoicing data, etc. will be retained as necessary.

While we aim to limit the sharing of your data, at times, it is necessary to share your data with certain service providers. Examples of when and for what purpose your data is shared include data center / hosting services, email marketing services, etc.

- Third-Party Data Center Services
- Third-Party Accounting Services, Payroll Services, ERP Services, Mail Marketers
- Other modules of Intelliswift applications to which you may or may not have subscribed to.
- With your permission, we may submit your resume, application and other information to a prospective employer on the basis that such prospective employer will not 1) disclose the fact that such job seeker is seeking employment and 2) share your personal data with any other person without job your consent or otherwise in compliance with applicable labor and employment laws. We may share your personal information, with sufficient information removed so that you are not readily identifiable, to prospective employers to solicit their potential interest in you as a job candidate.
- We share personal information with service providers, which are companies that help us run our business. Service providers include companies that provide marketing services, IT services, HR services, and other business services. These companies will have access to your personal information as necessary to perform their functions, but they may not use that data for any other purpose. We require services providers to abide by the requirements of this privacy policy regarding the use of your personal information.
- We may share personal information with other third parties in order to comply with the law.
- We share personal information with other Intelliswift companies to help provide our services to you, to improve our own products and services.
To Comply with Laws. - If we receive a request for information, we may disclose if we reasonably believe disclosure is in accordance with or required by any applicable law, regulation, or legal process.

Intelliswift restricts access to the personal information it collects to those who have a valid business need to know that information. Access to personal information is granted based on the minimum access required to fulfil the business need and purpose for which it is collected, used and shared. We endeavor to use commercially reasonable security safeguards, practices and procedures, and we commit to the highest level of care to protect the privacy and integrity of personal information, throughout its useful life-cycle, from collection until destruction.
